How to Book
You can be seen on the same day even without an advance appointment.
Same-day booking is also possible.
- Our clinic uses the appointment system “DigiSmart Patient Card.” Please book through the DigiSmart Patient Card web version or the smartphone app. You can also book on the same day.
- We use two systems together: time-slot booking and queue booking.
- If your arrival time is fixed, please choose a time slot from time-slot booking.
- If only the date of your visit is fixed, please choose the date and either the morning or afternoon block from queue booking. (Saturdays are mornings only.)
- You can also be seen without an advance appointment. In that case, please book via “queue booking” from the web version or app version of the DigiSmart Patient Card while at the clinic. If you are unsure how to book, please rest assured that we will guide you at reception. Please allow yourself plenty of time and arrive early enough to complete the procedure before reception closes.
- For children or the elderly who do not have their own smartphone, a guardian or caregiver can book using their smartphone. For reasons related to reception and being called, booking with the smartphone of the person accompanying you on the day makes the reception procedure simpler.
- Those for whom booking and reception by electronic device is difficult (those without a smartphone, those receiving care, kindergarten or nursery teachers and schoolteachers bringing preschoolers or children, etc.) should come at least 30 minutes before reception closes and speak to reception directly. (If there is an emergency and you will arrive after that time, please let us know by phone.)

*Our clinic also uses the app for in-clinic calling, issuing electronic consent forms, and the like. We recommend downloading the app before your visit. Free Wi-Fi is available within the clinic.
*For those using an overseas Apple ID on an iPhone
You can download the DigiSmart Patient Card by setting your country to Japan. If you have a subscription, you cannot change the country setting, and to download the Japanese app you will need to create a new Apple ID for Japan.
*Those who cannot download the app should prepare a valid email address and use the web version. It can also be used within the clinic.
About the Medical Questionnaire
- Regardless of whether you used time-slot booking or queue booking, once you have made a booking, please answer the medical questionnaire accurately before your visit. Those who come without an advance appointment are asked to answer it within the clinic.
- If you have answered by selecting the wrong type of care, we are sorry to trouble you, but we may ask you to answer again with the correct type of care.
About Reception and Being Called
- First-time patients will be guided at reception. Because we check insurance information and the like, please prepare your My Number health insurance card, various medical certificates, and so on.
- Returning patients can check in by themselves by scanning the QR code from the DigiSmart Patient Card app on a smartphone. Scanning your My Number health insurance card and presenting your medical certificate are required each time.
- Once all of “booking,” “answering the questionnaire,” and “checking in at the clinic” are complete, you are ready to be seen. Even if you have booked, you will not be called if you have not finished answering the questionnaire and checking in at the clinic.
- The “DigiSmart Patient Card” is also used for calling within the clinic. Please turn ON the app’s pop-up notifications on your smartphone.
- For those who booked with time-slot booking but arrived early because their symptoms worsened or they had time available, we will do our best not to keep you waiting, but until your booked time, queue-booking patients who arrived earlier take priority.
- Because the examination room or treatment room used changes depending on the type of care, the order of check-in and being called may shift somewhat.
- Also, if a patient who needs referral to a higher-level medical institution or who has an emergency requiring prompt treatment arrives, we may give them priority for care. Thank you for your understanding.
- We try to call those with burns, injuries, and the like sooner. Please speak to reception.
About Cancellations and Lateness
- If, after booking with the DigiSmart Patient Card, you become unable to attend, please change the date and time or cancel so that we can offer the slot to another patient.
- You can cancel an examination booking yourself on the system up to the day before. For same-day cancellations or lateness, please contact us by phone.
- If you cannot estimate your arrival time or there is a possibility you cannot arrive within consultation hours, please book with “queue booking” rather than “time-slot booking.” If you repeatedly book with time-slot booking but do not show up, we may restrict your use of time-slot booking in the future.
- Cancellation of cosmetic treatments can be done by yourself on the system from three days before to the day before, depending on the treatment. For cancellations after that, please contact us by phone. Please also contact us by phone if you find you will be late on the day.
- For same-day cancellation of cosmetic treatments, a cancellation fee applies, including when rescheduling to a later date. Please pay it together with your next visit, or if you have no plans to visit again, we are sorry to trouble you, but please come and pay within one month. - If you are late, depending on the booking and care situation, we may be unable to perform the treatment. In that case, a cancellation fee will be charged. Also, if you are more than 10 minutes late due to your own circumstances but we are able to adjust the booking slot and offer the treatment, a late-arrival handling fee will be charged. Please understand this in advance. For the latest late-arrival handling fee, please see the price list.
- For cancellation of surgery, please contact us promptly by phone. Rescheduling by phone is accepted only once.
About Cosmetic Consultations and Booking Cosmetic Treatments
- You cannot have a cosmetic consultation on the same day as insurance-covered care (first visit or return visit), but if you have already had a prior examination, you can receive the booked treatment.
- Self-pay Botox treatment is fine even on the first visit or on the same day as insurance-covered care.
- If you have booked a cosmetic treatment, please arrive by your booked time. (For the first booking slot after consultation hours begin, please arrive at that time.)
- Those who want topical anesthesia for a Pico YAG laser or Q-switched ruby laser treatment should also book the “topical anesthesia” slot 30 minutes before the laser treatment and arrive at least 30 minutes before the laser booking time.
- If you want two treatments on the same day, only one can be booked. Depending on the booking situation on the day, we will arrange the second treatment.
- We strictly do not allow adults to bring friends or others into the examination room during the examination.
- You may bring your child to the examination, but because we cannot ensure a child’s safety during treatment, please refrain from bringing a child who is too young to wait alone on the day you receive a cosmetic treatment.
For Those Who Want a Facial Examination or Procedure
- Regardless of whether it is insurance-covered or self-pay care, those who want a facial examination or procedure may, for accurate visual examination, dermoscopy, and safe subsequent treatment, need to wash their face beforehand, before the examination, if they are wearing cosmetics including sunscreen, and this is necessary. We provide makeup remover, basic cosmetics, and towels in the powder room, so please speak to reception before your examination.
- A fee may be charged for washing your face in the powder room. For the amount, please see the price list.
- Immediately after removing makeup, the skin may be red or cosmetics may remain, which can affect the diagnosis, so if you are coming directly from home, please come with bare skin (with only toner and emulsion, and ultraviolet protection such as a hat). You are welcome to apply makeup in the powder room before leaving after the examination.
- For those who do not want to wash their face, we also provide makeup-removing wipes, but because for the examination of spots and growths we look at the overall color tone of the face and the distribution of the eruption, you need to remove the makeup from your whole face rather than just part of it. Also, depending on the procedure performed during the examination, washing the face afterward may become difficult due to gauze protection and the like. If you want a NeoVoir skin analysis or a treatment such as peeling, laser, or surgery on the same day as the examination, depending on the content, even after removing your makeup with a makeup-removing wipe, you may need to wash your face again.
- For those with chronic conditions such as atopic dermatitis or acne, you do not have to remove your makeup every time, but especially at the first visit or when the condition worsens, we recommend being seen without makeup.
For Those for Whom an Examination in Japanese Is Difficult
- Even for those enrolled in Japanese health insurance, if communication in Japanese is not possible at all and the examination must be conducted entirely in English, a fee will be charged. For the latest amount, please see the price list.
- In an examination for those who can speak neither Japanese nor English, if the conversation is carried out through an interpreter (including a friend or family member), it takes more time than usual, so a fee will be charged. The same applies if the patient themselves uses a translation app. For the latest amount, please see the price list.
- Those who do not hold permanent residency in Japan may be asked to pay a deposit in cash in advance. In some cases, we may ask for full payment of the treatment cost in advance.
For Minors, and for Guardians Bringing a Minor to Be Seen
- Minors and those of high school age or younger should be seen accompanied by a guardian.
- Especially for self-pay treatments such as cosmetic procedures, in the case of minors and those of high school age or younger, a guardian must receive the explanation, agree to it, and sign.
- Even if you want a same-day cosmetic treatment, please book an “aesthetic dermatology / internal medicine” examination for the first visit.
- If a first-time patient is a minor at the time they book a cosmetic treatment, we may mechanically process a cancellation at the clinic. In this case, we will not contact you. (For an aesthetic dermatology / internal medicine examination booking, we will not cancel. Please come with a guardian.)
About Consent Forms
Our clinic is moving toward going paperless, and consent forms are stored electronically using the MediOS system. In the case of minors, a person with parental authority will sign.
About Notification of Test Results
Our clinic is moving toward going paperless. For in-clinic tests such as microscopy and rapid antigen tests, we provide a verbal explanation and also send the results the same day using the message function of the “DigiSmart Patient Card.” For outsourced tests such as blood and urine tests, after we explain the test results at your next examination, we deliver the results individually using the MeDaCa system. Those who plan to have a blood test are asked to download the app to their smartphone in advance.
